This policy explains what personal data we collect through this website and by email, why we use it, who we share it with and what rights you have. It is written with regard to the Personal Data Protection Act, 2022 of the United Republic of Tanzania and its regulations, and other applicable laws of Tanzania and Zanzibar.
1. Who we are
Next Zanzibar Advisors Limited is a professional advisory firm providing accounting, tax, audit support, financial management and business consulting services. Our office is at Kiembe Samaki, Zanzibar. For anything in this policy, write to us at info@nextzanzibar.co.tz. We act as the controller of the personal data described below.
2. What we collect
- Enquiry details. When you use our enquiry form or email us: your name, email address, company name, the service you are interested in, and the contents of your message.
- Correspondence. The emails and other messages you send us and our replies.
- Technical data. Like most websites, our hosting and security provider processes technical data such as your IP address, browser type, device and the pages requested, to deliver the site and protect it from abuse.
We do not ask for, and ask you not to send through the website form, bank details, passwords, identity document numbers or confidential financial records. If we take you on as a client, we will agree a secure way to exchange documents.
3. Why we use your data, and our legal basis
- To respond to your enquiry and, if you wish, prepare a proposal for our services. Basis: your consent and steps taken at your request before entering a contract.
- To provide services under an engagement with you. Basis: performance of that contract.
- To meet our legal and professional obligations, such as accounting, tax, anti-money-laundering and record-keeping requirements. Basis: legal obligation.
- To keep our website, systems and email secure and working. Basis: our legitimate interests in running a secure business, balanced against your rights.
We do not sell your personal data, and we do not use it for automated decisions that significantly affect you.
4. Who we share it with
We share personal data only where needed, with:
- service providers who help us run the business, including our email provider (Google Workspace) and our website hosting, domain and security provider (Cloudflare). Fonts on this website are loaded from Google Fonts, which means your browser contacts Google when you visit;
- professional advisers, such as lawyers or auditors, who are bound by confidentiality;
- courts, regulators, tax and other public authorities where the law requires or allows it.
Our service providers may only use personal data to provide their service to us.
5. Transfers outside Tanzania
Some of our providers store or process data in other countries. Where we transfer personal data outside Tanzania, we do so only as the Personal Data Protection Act permits, for example where the recipient is subject to adequate protection or appropriate safeguards are in place.
6. Cookies
This website does not use advertising or analytics cookies. Our hosting provider may use strictly necessary technologies, such as a security cookie, to detect automated traffic and protect the site. If we add analytics or other optional cookies in future, we will update this policy and ask for your consent where required.
7. How long we keep it
We keep personal data only as long as needed for the purpose it was collected, or as the law requires. Enquiries that do not lead to an engagement are generally reviewed and deleted within 24 months. Client records are kept for the periods required by accounting, tax and professional rules, then securely deleted or anonymised.
8. Security
We use reasonable technical and organisational measures to protect personal data, including access controls, encrypted connections (HTTPS) and a reputable email provider. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security. If a personal data breach occurs, we will notify the Personal Data Protection Commission and affected individuals as the law requires.
9. Your rights
Under the Personal Data Protection Act you have rights, subject to the conditions and exceptions in the law, to:
- be informed about how your data is used and ask for access to it;
- have inaccurate data corrected;
- ask for your data to be erased or its use restricted;
- object to certain uses, including use for direct marketing;
- withdraw consent at any time, without affecting the lawfulness of what we did before;
- not be subject to a decision based solely on automated processing that significantly affects you.
To use any of these rights, email info@nextzanzibar.co.tz. We may need to verify your identity first, and we will reply within the time the law requires. If you are unhappy with how we handle your data, you may complain to us first, and you also have the right to complain to the Personal Data Protection Commission of Tanzania.
